How to enable employee entry and create a group

1. Scenario

When managing new employees, HR usually needs to enter employee information first, then add new employees to the company's organizational structure in the DingTalk management background, and create a new guide group, the supervisor in the group leads the new employees. However, when there are a large number of employees, repeated entry will be tedious and easy to make mistakes. So how can we make it easy for employees to enter the job?

We can use the connector to automatically add the pending information of the member to the intelligent personnel when submitting the employee information data. After the employee enters the job, select confirm to be on the job, and automatically pull the group to guide the new employee, not only is it convenient and fast, but also it is not easy to make mistakes, so let's take a look at how to achieve it!

2. Implementation steps

2.1 Form Creation

Create an onboarding report that includes the name, mobile phone number, and onboarding time.

2.2 Integration & Automation creation

To meet the needs of employees to join and automatically pull groups, it needs to be divided into the following two steps:

• After submitting the employee entry report, the pending information of the member is automatically added to the intelligent personnel.
• After the employee arrives, confirm that the employee is on duty and assign Department positions, formally join the organizational structure and automatically create a new guide group.

The first step needs to be triggered when the form is submitted, and the second step needs to be triggered when employees join the organizational structure. Therefore, two integrations and automation need to be created.

2.2.1 trigger smart personnel connector when form submission

(1) add Integration & Automation

The trigger type is form event trigger because we need to submit an employee to fill in the report 」.

(2) trigger type of form event

The connector is triggered when the form is submitted successfully. Therefore, the trigger event is selected as the successful creation.

(3) Create an intelligent personnel connector

Add the smart personnel connector. In the configuration execution action, configure param as the data corresponding to the number of forms submitted. After the configuration is completed, save and publish it.

2.2.2 trigger group connector creation after employee entry

(1) add Integration & Automation

Because we need to automatically create a group after employees join the job, we select the trigger type as application event trigger 」.

(2) configure the application event trigger type

Confirm that the trigger is triggered after the employee arrives at the post. Therefore, the trigger type of the application event is added to the address book member 」.

(3) add the create scene Group connector

Add a new scene Group connector and configure the fields required to perform the action.

• Group member list 」:You can select a fixed value to pull multiple supervisors or guides into the group.
• Group owner 」:You can select a field to obtain the employee information returned by the application event, and select the employee as the group owner.

• Group name 」:You can configure the formula to splice the employee name with the corresponding group name. The configuration is as follows:

• Manageable 」:You can select the option in the fixed value to configure management permissions.

(4) configure message notification connector

After creating the scene Group connector, add a message notification connector to automatically send messages to the scene Group.

• Message content 」:Configure the content to be sent. You can send fixed content, field content, or concatenate it through formulas.
• Group response id 」:Select the group session id field and select the group id of the result returned by the connector.
